Events

For every event created, a landing page is generated making it easy to share and start getting registrations. All you need is a name and date to get started.

Private Events

Make any event instantly private by editing the event and creating a private key. Only those with a valid link will be able to view the event.

Sharing Events

Events can be shared by clicking the “Copy Link” button on the event dashboard. This will copy the event link to your clipboard where you can paste it anywhere to share.

Deleting Events

Deleting an event will not automatically refund any participants of the event. Deleted events can be recovered after deletion.

Disputes

Disputes occur when a participant questions your payment with their card issuer. When a dispute occurs, the card network immediately reverses the payment and adds one or more network dispute fees. The payment amount and dispute fee are debited from your account.

Handling Disputes

Swift Events makes it easy to handle disputes. If you notice a dispute for one of your payments in the dashboard, you have up until the given date to submit evidence for the dispute. You want to avoid having disputes whenever possible to keep your organization in good standing with card networks.

Doing Nothing

Doing nothing will result in the customer automatically winning the dispute. You will be debited the amount for the payment as well as any dispute fees.

Accepting the Dispute

You can accept the dispute if you choose. This will result in the customer winning the dispute and the payment and fees being debited from your account.

Talk to the customer

The most effective strategy when handling disputes is to work directly with your customer. A customer can retract a dispute after it has been filed. If you can settle the matter professionally with your customer and convince them to withdraw the dispute, you will have the best chance of winning the case.

Withdrawn disputes do not resolve faster than other disputes and still count against you in the card networks.

Submitting Evidence

To counter a dispute you can submit evidence that the payment was legitimate. You can do this by clicking on the disputed payment and following the steps for submitting evidence for your case.

With every dispute, we recommend submitting at least a document with your interaction with the customer and a customer signature if possible. A customer signature could be a document they signed showing they participated in your event or a contract they signed for your event.

All evidence that is submitted should serve to support your case with the dispute.

After Submitting Evidence

After submitting evidence you must wait for a response from the card issuer. The response from the card issuer is final and cannot be overturned. A response typically takes 2-3 months. If you win a dispute, the debited payment and fees will automatically be returned to your account.

Documents

Documents can be added to your registration forms for participants to review and acknowledge before registering. A document that may be good to include would be an event policy or a refund policy.

Documents such as waivers or legally binding documents may be included for informational purposes, but if a signature is required, you should obtain a signature from the participant before or at the event.

Editing

Editing a document creates a new version of that document and updates all forms using that document with the latest version.

Registrations

All registrations are tied directly to the documents and versions they acknowledged. This protects the customer and the organizer in cases where a dispute may occur due to a refund policy concern.

Payouts

Payouts are automatically dispersed by Stripe. Payouts are sent out daily and typically take 3 to 5 days to appear in your bank account. Checkout Stripe for more information on payouts.

Payments

Payments occur when a participant sends a payment for their registration. Payments only occur for events that are not free.

Fees

There are two types of fees, a payment processing fee and a service fee. Depending on if an organizer wants to cover the fees or not will determine how much the customer pays.

If the customer handles payment for the fees, the fees will be added to the registration price.

If the organizer opts to handle payment for the fees, the fees will be deducted from the price of the registration.

Registrations

Every time a participant registers for an event a registration is created. An organizer has the ability to edit or delete a registration.

For example, if an organizer is running a tournament and a team is approved to make modifications to their team, the organizer can make those modifications to their registration.

Deleting and Recovering

When a registration is deleted it is also removed from the event. Registrations that are deleted can be recovered and added back to the event later.

Adding

Registrations can be added to an event manually by the organizer. This may be useful if an organizer already received payment for the event or does not want to charge a participant for the event.

Registration Forms

Registration forms allow participants to register for events. You can configure each registration form individually. This allows organizers the ability to customize the registration process for each type of registration.

Documents

Documents that participants should be aware of and acknowledge can be added to registration forms. This will allow participants to review the documents when they register for the event.

Public vs Hidden Registrations

Registrations can be made visible on the event home page. This can be toggled on or off by editing the registration portion of the registration form. Only the names of the participants are made visible on the event page.

Registrations can be made visible for private events as well. These registrations will only be visible by those who have access to the event.

Disabling and Enabling

Registration forms can be disabled or enabled anytime. When a registration form is disabled, participants will not be able to register for the event with the form.

Deleting and Recovering

Deleting a registration form will not automatically refund any participants of the event. Participants will not be able to register for a registration form that has been deleted. A registration form may be recovered after it has been deleted.

Refunds

Refunds can be given to participants quickly and easily through the payment dashboard. Refunds will automatically be delivered to the payment source used by the participant when they register. Refunds usually take about 5-10 business days to appear in your customers bank. Learn more about refunds from Stripe.
